In short

Your payroll records (employer details, employees, ID numbers, salaries, bank details, leave, contracts, disciplinary records) are stored on your phone. We do not receive them.
Google Play version: we receive no personal data. Google handles your purchases under Google’s own privacy policy.
Version downloaded from payrollontherun.com: to activate and check your licence, the app sends a small set of licence and device details (such as your e-mail address, a device ID and the device model) to our licence server. Card payments go through Paystack; we never see your card number.
No advertising, no analytics and no crash-reporting tools are built into the app.
The app does not encrypt its own database. Protect your phone with a screen lock.

1. Who we are

Payroll On The Run is provided by Pieter Pieterse (Payroll On The Run) (“we”, “us”).

Payroll On The Run is operated by Pieter Pieterse and published on Google Play under the developer account PA Tax Practitioners (Pty) Ltd.

2. Who is responsible for which information

Payroll and employee information on your phone: you, as the employer, are the responsible party under the Protection of Personal Information Act (POPIA). You decide what to enter and what to share. We have no access to it.
Licence and account information we receive (section 4.2, website version only): Pieter Pieterse (Payroll On The Run) is the responsible party.

3. What the app stores on your phone

Everything you enter is saved in the app’s private storage on your device (SQLite database files potr_<CODE>.db, one per employer, plus potr_config.db, and app settings):

Employer: name, registration/ID number, PAYE, UIF, SDL and COIDA numbers, address, telephone, e-mail, contact person, bargaining council details.
Employees: name, ID or passport number, nationality, date of birth, gender, telephone, e-mail, address, income tax number, payment method and bank details (bank, branch code, account number), pay day, a photo if you add one, termination date and reason.
Pay data: remuneration, payroll transactions (salary, PAYE, UIF, SDL, deductions), IRP5 codes, leave, contracts, disciplinary records and terminations.
Settings: app PIN, language, home-screen layout, your chosen documents folder and cached purchase/unlock status.

Reports and files. Payslips, EMP201/EMP501, UI-19, bargaining council returns, contracts, CSV exports and database backup copies are created on your device, in a folder you choose, only when you tap the button. They stay there until you move or share them.

4. What is sent off your phone, and why

There are two versions of the app. What leaves your phone depends on where you installed it.

4.1 Google Play version

We receive no personal data. The Google Play version does not contact our licence server.
Subscriptions are bought through Google Play Billing. Google collects your payment details directly, under Google’s privacy policy. The app reads which subscriptions are active from Google on your phone and keeps that status on the phone.
The Google Play Billing library built into the app may send technical diagnostic data about the billing connection (such as success or failure of billing calls) to Google, over an encrypted connection, under Google’s privacy policy. We do not receive this data. It contains no payroll or employee data.

4.2 Version downloaded from payrollontherun.com

Paystack	You enter your card on Paystack’s own payment page; the app never sees card numbers. Card payments are paid into the bank account of PA Tax Practitioners (Pty) Ltd. Our server sends licence key, device ID, product, quantity and e-mail to start the payment, and stores the Paystack customer and authorisation codes, Paystack e-mail, card type and last 4 digits, last payment date and amount, and payment references.	When you tap a pay button.

We do not receive employee or payroll data such as ID numbers, salaries or bank details.

No ads, analytics or crash reporting. The app contains no advertising, analytics or crash-reporting software.

5. Sharing that you choose

E-mail, WhatsApp, Share and Print: when you tap these on a report or payslip, the file goes to the app or printer you pick. From then on that app’s or service’s own terms apply.
Links: tapping a link opens your browser at payrollontherun.com (including the contact page), sars.gov.za, ufiling.labour.gov.za, ccma.org.za, gov.za, mibfa.co.za or patax.co.za. Those sites have their own privacy policies.
We do not sell personal information and do not share it for advertising.

6. Android backup

From version 1.9.43, the app excludes its payroll databases, settings (preferences) and files from Google’s cloud backup. When you move to a new phone with a direct device-to-device transfer (by cable or wirelessly while setting up the new phone), Android 12 and newer still copy this data to the new phone. On Android 11 and older it is not transferred; use Setup > Create Database Backup and restore the copy on the new phone. In earlier versions of the app, this data could be included in your own Google account backup. Backup and transfer are controlled by your Google account and phone settings, not by us; we cannot see them. You can switch backup off in your phone’s settings.

7. Where the server data is kept (cross-border transfer)

Our licence server runs on Supabase in the eu-central-1 region (Frankfurt, Germany). Licence and account information from the website version is therefore transferred outside South Africa. (The Google Play version sends us nothing.) This transfer is allowed under section 72 of POPIA because (a) Germany is subject to the EU General Data Protection Regulation (GDPR), which gives protection substantially similar to POPIA (section 72(1)(a)), and (b) the transfer is necessary to perform our licence agreement with you (section 72(1)(c)).

8. Security

Data sent between the app and our server, Google Play or Paystack travels over encrypted HTTPS connections.
On your phone the app does not add its own encryption. Its database and exported files (including backup copies) are stored in plain form and rely on Android’s device encryption. Use a screen lock and the app PIN, keep your phone updated, and store exported files safely.
Supabase publicly states that customer data on its platform is encrypted at rest (AES-256) and in transit (TLS) (supabase.com/security).

9. How long we keep information

On your phone: until you delete it in the app, clear the app’s data or uninstall the app. Files you exported stay until you delete them.
Google Play version: we hold no personal data about you.
On our licence server (website version): licence information is kept while your licence is active and for 12 months after that.
After a deletion request: we delete your licence record and keep only the payment records the law requires (for example Paystack payment records for SARS purposes), for 5 years.

10. Deleting your data

On your phone: Setup > Delete All My Data (Account Deletion) clears all the app’s data on the device, including employees, transactions, settings and licence settings. PDFs and exports you already saved are not removed; delete them yourself. Setup also links to our delete-account page.
On our server (website version): the app cannot delete your licence record itself. Ask us by e-mail at support@payrollontherun.com; we respond within 30 days. See payrollontherun.com/delete-account.

11. Your rights under POPIA

You may ask us whether we hold personal information about you and for a copy of it, ask us to correct or delete it, and object to its processing. Contact support@payrollontherun.com. We will respond within 30 days. To protect your information, we only delete data when the request comes from the e-mail address on the licence, or after you confirm the request from that address.

Employees: your employer keeps your payroll information on their own device, and we have no access to it. Please direct requests about that information to your employer.

12. App permissions

Internet and network state (Google Play purchases; licence checks in the website version), Google Play Billing, and storage access (reading files, and writing files on older Android versions) to save reports and exports. The app does not use your camera, contacts or location.

13. Children

The app is not for children. It is meant for employers and payroll or tax practitioners aged 18 and older.

14. Changes

When we change this policy, we will update it on this page and change the “effective as of” date.

2. Wie is verantwoordelik vir watter inligting

Betaalstaat- en werknemerinligting op jou foon: jy, as werkgewer, is die verantwoordelike party ingevolge die Wet op Beskerming van Persoonlike Inligting (POPIA). Jy besluit wat jy invoer en wat jy deel. Ons het geen toegang daartoe nie.
Lisensie- en rekeninginligting wat ons ontvang (afdeling 4.2, net die webwerf-weergawe): Pieter Pieterse (Payroll On The Run) is die verantwoordelike party.

3. Wat die app op jou foon stoor

Alles wat jy invoer, word in die app se private berging op jou toestel bewaar (SQLite-databasislêers potr_<KODE>.db, een per werkgewer, plus potr_config.db, en die app se instellings):

Werkgewer: naam, registrasie-/ID-nommer, PAYE-, UIF-, SDL- en COIDA-nommers, adres, telefoon, e-pos, kontakpersoon, bedingingsraadbesonderhede.
Werknemers: naam, ID- of paspoortnommer, nasionaliteit, geboortedatum, geslag, telefoon, e-pos, adres, inkomstebelastingnommer, betaalmetode en bankbesonderhede (bank, takkode, rekeningnommer), betaaldag, ’n foto as jy een byvoeg, datum en rede van diensbeëindiging.
Betaaldata: vergoeding, betaalstaattransaksies (salaris, PAYE, UIF, SDL, aftrekkings), IRP5-kodes, verlof, kontrakte, dissiplinêre rekords en diensbeëindigings.
Instellings: app-PIN, taal, tuisskermuitleg, die dokumentevouer wat jy gekies het, en gestoorde aankoop-/ontsluitstatus.

Verslae en lêers. Betaalstrokies, EMP201/EMP501, UI-19, bedingingsraadopgawes, kontrakte, CSV-uitvoere en rugsteunkopieë van die databasis word op jou toestel geskep, in ’n vouer wat jy kies, en net wanneer jy die knoppie tik. Hulle bly daar totdat jy dit skuif of deel.

4. Wat van jou foon af gestuur word, en hoekom

Daar is twee weergawes van die app. Wat van jou foon af gaan, hang af van waar jy dit geïnstalleer het.

4.1 Google Play-weergawe

Ons ontvang geen persoonlike data nie. Die Google Play-weergawe kontak nie ons lisensiebediener nie.
Intekeninge word deur Google Play Billing gekoop. Google samel jou betaalbesonderhede self in, onder Google se privaatheidsbeleid. Die app lees op jou foon by Google watter intekeninge aktief is, en hou daardie status op die foon.
Die Google Play Billing-biblioteek in die app kan tegniese diagnostiese data oor die betaalverbinding (soos of betaaloproepe slaag of misluk) oor ’n geënkripteerde verbinding na Google stuur, onder Google se privaatheidsbeleid. Ons ontvang nie hierdie data nie. Dit bevat geen betaalstaat- of werknemerdata nie.

4.2 Weergawe wat jy van payrollontherun.com aflaai

Die bediener hou ook jou laaste aanmelding, aantal werknemers, watter modules en plekke aangeskakel is, en betaalkanaal, asook maatskappynaam, kontakpersoon en telefoonnommer: besonderhede wat jy aan ons gee wanneer jy ’n lisensie deur ons webwerf of Paystack se betaalblad koop, of wat ons aanteken wanneer ons jou lisensie opstel.	Om jou lisensie te aktiveer, na te gaan of dit geldig is, en te weet watter betaalde funksies oopgesluit moet word.
Paystack	Jy tik jou kaart op Paystack se eie betaalblad in; die app sien nooit kaartnommers nie. Kaartbetalings word in die bankrekening van PA Tax Practitioners (Pty) Ltd betaal. Ons bediener stuur lisensiesleutel, toestel-ID, produk, hoeveelheid en e-pos om die betaling te begin, en stoor die Paystack-kliënt- en magtigingskodes, Paystack-e-pos, kaarttipe en laaste 4 syfers, laaste betaling (datum en bedrag) en betaalverwysings.	Wanneer jy ’n betaalknoppie tik.

Ons ontvang geen werknemer- of betaalstaatdata nie, soos ID-nommers, salarisse of bankbesonderhede.

Geen advertensies, ontleding of foutverslae nie. Die app bevat geen advertensie-, ontledings- of foutverslagsagteware nie.

5. Deel wat jy self kies

E-pos, WhatsApp, Deel en Druk: wanneer jy dit op ’n verslag of betaalstrokie tik, gaan die lêer na die app of drukker wat jy kies. Daarna geld daardie app of diens se eie bepalings.
Skakels: as jy ’n skakel tik, maak jou blaaier oop by payrollontherun.com (ook die kontakblad), sars.gov.za, ufiling.labour.gov.za, ccma.org.za, gov.za, mibfa.co.za of patax.co.za. Daardie webwerwe het hul eie privaatheidsbeleide.
Ons verkoop nie persoonlike inligting nie en deel dit nie vir advertensies nie.

6. Android-rugsteun

Vanaf weergawe 1.9.43 sluit die app sy betaalstaatdatabasisse, instellings (voorkeure) en lêers uit Google se wolkrugsteun uit. As jy met ’n direkte oordrag van toestel tot toestel (met ’n kabel of draadloos terwyl jy die nuwe foon opstel) na ’n nuwe foon oorskuif, kopieer Android 12 en nuwer hierdie data steeds na die nuwe foon. Op Android 11 en ouer word dit nie oorgedra nie; gebruik Opstelling > Skep databasis-rugsteun en herstel die kopie op die nuwe foon. In vroeër weergawes van die app kon hierdie data by jou eie Google-rekening se rugsteun ingesluit word. Jou Google-rekening en foon se instellings beheer rugsteun en oordrag, nie ons nie; ons kan dit nie sien nie. Jy kan rugsteun in jou foon se instellings afskakel.

7. Waar die bedienerdata gehou word (oordrag oor die grens)

Ons lisensiebediener loop op Supabase in die eu-central-1-streek (Frankfurt, Duitsland). Lisensie- en rekeninginligting van die webwerf-weergawe word dus buite Suid-Afrika oorgedra. (Die Google Play-weergawe stuur niks na ons nie.) Artikel 72 van POPIA laat hierdie oordrag toe omdat (a) Duitsland onder die EU se Algemene Databeskermingsregulasie (AVG/GDPR) val, wat beskerming bied wat wesenlik soortgelyk aan POPIA is (artikel 72(1)(a)), en (b) die oordrag nodig is om ons lisensie-ooreenkoms met jou uit te voer (artikel 72(1)(c)).

8. Sekuriteit

Data wat tussen die app en ons bediener, Google Play of Paystack beweeg, gaan oor geënkripteerde HTTPS-verbindings.
Op jou foon voeg die app nie sy eie enkripsie by nie. Die databasis en uitgevoerde lêers (ook rugsteunkopieë) word onversleuteld gestoor en steun op Android se toestelenkripsie. Gebruik ’n skermslot en die app-PIN, hou jou foon bygewerk, en bewaar uitgevoerde lêers veilig.
Supabase verklaar openbaar dat kliëntdata op sy platform in rus (AES-256) en in transito (TLS) geënkripteer word (supabase.com/security).

9. Hoe lank ons inligting hou

Op jou foon: totdat jy dit in die app skrap, die app se data uitvee of die app verwyder. Lêers wat jy uitgevoer het, bly totdat jy dit self skrap.
Google Play-weergawe: ons hou geen persoonlike data oor jou nie.
Op ons lisensiebediener (webwerf-weergawe): lisensie-inligting word gehou solank jou lisensie aktief is, en 12 maande daarna.
Ná ’n skrapversoek: ons skrap jou lisensierekord en hou net die betaalrekords wat die wet vereis (byvoorbeeld Paystack-betaalrekords vir SARS-doeleindes), vir 5 jaar.

10. Jou data skrap

Op jou foon: Opstelling > Delete All My Data (Account Deletion) vee al die app se data op die toestel uit, insluitend werknemers, transaksies, instellings en lisensie-instellings. PDF’s en uitvoere wat jy reeds bewaar het, word nie verwyder nie; skrap dit self. Opstelling skakel ook na ons skrapblad.
Op ons bediener (webwerf-weergawe): die app kan nie self jou lisensierekord skrap nie. Vra ons per e-pos by support@payrollontherun.com; ons antwoord binne 30 dae. Sien payrollontherun.com/delete-account.

11. Jou regte ingevolge POPIA

Jy kan ons vra of ons persoonlike inligting oor jou hou en vir ’n afskrif daarvan, ons vra om dit reg te stel of te skrap, en beswaar maak teen die verwerking daarvan. Kontak support@payrollontherun.com. Ons antwoord binne 30 dae. Om jou inligting te beskerm, skrap ons data net as die versoek van die e-posadres op die lisensie kom, of nadat jy die versoek vanaf daardie adres bevestig het.

Werknemers: jou werkgewer hou jou betaalstaatinligting op sy of haar eie toestel, en ons het geen toegang daartoe nie. Rig asseblief versoeke oor daardie inligting aan jou werkgewer.

Jy kan ’n klagte by die Inligtingsreguleerder (Suid-Afrika) indien:

12. App-toestemmings

Internet en netwerkstatus (Google Play-aankope; lisensiekontrole in die webwerf-weergawe), Google Play Billing, en toegang tot berging (lêers lees, en lêers skryf op ouer Android-weergawes) om verslae en uitvoere te bewaar. Die app gebruik nie jou kamera, kontakte of ligging nie.

13. Kinders

Die app is nie vir kinders nie. Dit is bedoel vir werkgewers en betaalstaat- of belastingpraktisyns van 18 jaar en ouer.

14. Veranderinge

As ons hierdie beleid verander, werk ons dit op hierdie blad by en verander ons die “geldig soos op”-datum.
